How AI voice agents integrate with existing phone infrastructure — the technical configurations that work for Mumbai businesses.

As the founder of Perceptra, a Mumbai digital growth studio, I work with real businesses on these challenges every week. This guide is written for owners and decision-makers, not engineers.

The integration question every business owner asks first

An AI voice agent integrates with your existing phone number and infrastructure — not requiring you to get a new number or change how customers reach you. The voice agent is inserted into the call routing path between your phone number and your current handling (human receptionist or voicemail), answering specified call types or all calls during specified times.

The three common integration configurations

Configuration 1: After-hours only. During business hours, calls ring directly to your existing human receptionist. After hours, calls route to the AI voice agent. Callers call the same number they always have; the difference is that the call is now always answered rather than going to voicemail.

Configuration 2: AI as first answer, with transfer option. The AI voice agent answers every inbound call first — handling FAQ queries, booking queries, and information requests directly, and transferring to a human for calls requiring human handling. The human receptionist receives only the calls that genuinely need them.

Configuration 3: Overflow handling. The AI voice agent routes calls normally to the human receptionist during staffed hours, but automatically takes over when the receptionist is on another call — eliminating the engaged tone or hold queue during peak periods.

The technical mechanism

Your existing phone number forwards to a SIP (Session Initiation Protocol) endpoint — either directly from your mobile or landline provider's call forwarding settings, or through a virtual phone system (Exotel, Ozonetel, or similar Indian telephony providers with AI integration capability). The AI platform handles the call at this endpoint.

For Indian businesses, the telephony integration options include direct SIP trunking from your existing provider, number porting to a VoIP platform that supports AI integration, or virtual number overlay (your existing number forwards to a virtual number that routes to the AI system).

The calendar and CRM integrations that make bookings work

The telephony integration (the call arriving at the AI system) is the first integration. For appointment booking to work, the system also needs:

  • Calendar API access (read availability, write new bookings)
  • CRM API access (create lead records, update existing contacts)
  • WhatsApp API access (send confirmations)

Frequently asked questions

No — your existing business phone number is retained. The AI system is inserted into the routing path after your number, not replacing it.

For calls the AI voice agent handles, voicemail is bypassed — the AI answers instead. For calls routed past the AI to a human (during staffed hours, or after transfer), your existing voicemail handles missed calls if the human does not answer. Many businesses reduce their reliance on voicemail significantly after deploying an after-hours AI agent.

If your desk phones use a hosted PBX or VoIP system with call forwarding capability, yes — the configuration routes specific call types or time-windows from your existing system to the AI platform. If your phones are old-style PSTN landlines without forwarding capability, you may need a VoIP platform intermediary.
