The integration options: easy vs custom
Pre-built connectors: Most major chatbot platforms (Manychat, Tidio, Landbot) have pre-built HubSpot and Zoho connectors. These handle standard fields and take hours, not weeks, to configure.
Webhook integrations: For CRMs or chatbot platforms without pre-built connectors, webhooks send data from the chatbot to any CRM that accepts a POST request. More flexible, requires basic technical configuration.
Custom API integration: Full custom build for businesses with complex routing logic, custom CRM fields, or non-standard platforms. More time and cost, but handles any integration requirement.
Workflow automation middleware (n8n, Make, Zapier): The chatbot sends data to n8n or Make, which then routes it to any CRM, any Slack channel, any Google Sheet and can apply logic in between (if budget is above ?5 lakhs, create a high-priority lead). What to map before building the integration
Before building, define:
Which chatbot fields map to which CRM fields: Name ? Contact Name. Phone ? Mobile. Budget range ? Deal Value (estimated). Timeline ? Expected Close Date. Requirement ? Deal Description.
The routing logic: Which leads go to which rep? Based on location, service type, budget, or round-robin?
The follow-up trigger: What happens automatically when a lead lands in the CRM? An email? A WhatsApp message? A task for the rep?
The data cleaning rule: What happens to a lead that gave no phone number, or clearly invalid data?
