It is a message that depends on someone checking their email, reading it, and manually transferring the contact information to your CRM. A website form connected to a CRM sends form submission data directly to the CRM via webhook or native integration creating a contact record, populating the relevant fields, assigning the lead to a rep, and triggering the first follow-up automation all before anyone on your team has seen the submission.

The three connection methods

Method 1: Native CRM form (simplest)

HubSpot and Zoho both offer form builders that create contacts in your CRM automatically. Embed the CRM's form code on your website instead of a third-party form. The data flows natively no integration required.

Best for: Businesses using HubSpot or Zoho whose website allows embed codes (WordPress, custom HTML). Does not require developer involvement.

Limitation: CRM-native forms have limited design flexibility. For branded, custom-designed forms, Method 2 or 3 is better.

Method 2: Webhook from your form tool (most common)

Your website uses a form tool (Gravity Forms, Contact Form 7, Typeform, or similar). Configure a webhook in the form tool to send submission data to your CRM's webhook URL. The CRM receives the payload and creates a contact.

Best for: WordPress sites with existing form plugins. Most form tools support webhooks without developer involvement.

Required: Your CRM must have a webhook endpoint HubSpot, Zoho, and Freshsales all do.

Method 3: Automation middleware (most flexible)

Your form tool sends submissions to n8n, Make, or Zapier. The automation platform cleans the data (removes test submissions, standardises phone number format), adds fields (lead source, date, form name), and sends to the CRM.

Best for: Businesses with multiple forms on their website, businesses that need data transformation before the CRM receives it, or businesses connecting forms from multiple platforms.

The fields that must flow to the CRM

Every form submission should pass these fields to the CRM:

Required: Name, phone number, email (if collected), and the form's subject/service field.

Lead intelligence: Which page they submitted from, which form, and the date and time. These populate source attribution without any manual work.

UTM parameters: If your website uses UTM tracking on paid ads, passing these to the CRM lets you attribute closed deals back to the specific ad campaign that generated them.

What to watch for in the integration

Test every form, not just one. If you have three forms on your website (homepage, services page, contact page), test all three. Each one may have a slightly different field structure.

Check for phone number formatting. Indian phone numbers submitted as "9876543210" must be stored with country code "+91-9876543210" for WhatsApp automation to work. Add a formatting step if your form does not collect numbers with country code.

Set up failure alerts. If a webhook fails (your CRM is briefly down, the webhook URL changes), form submissions are lost. Configure email alerts for webhook failures.
